This Privacy Policy explains how Geolapis collects, uses, stores, protects, and shares personal information when you use our websites, dashboards, AI receptionist tools, quoting tools, booking tools, messaging features, and related services.

1. Who we are

Geolapis provides software tools that help service businesses manage leads, calls, quotes, appointments, SMS/email follow-ups, billing workflows, and operational dashboards.

In this Policy, “Geolapis”, “we”, “our”, or “us” refers to the operator of the Geolapis Agent platform. “Customer”, “you”, or “your” refers to the business or individual using the platform. “End customer” refers to a person whose details are entered into the platform by a business user, such as a homeowner or service caller.

2. Information we collect

We may collect the following categories of information:

  • Account information, such as name, email address, phone number, login details, role, and organization membership.
  • Business information, such as company name, service area, website, business phone numbers, booking links, pricebook settings, and branding preferences.
  • Lead and customer information, such as caller name, phone number, email address, city, service request, appointment details, quote details, and communication preferences.
  • Communication information, such as SMS messages, email templates, outbound message records, call metadata, voicemail or missed-call events, and service follow-up activity.
  • Billing and subscription information, such as plan type, payment status, transaction records, invoices, and usage limits. Payment card details are processed by payment providers and are not stored directly by Geolapis.
  • Technical information, such as IP address, browser type, device information, log data, error events, security events, authentication events, and usage analytics.
  • Integration information, such as configuration data needed to connect with providers for calendar booking, SMS, email, voice, payment, hosting, and database services.

3. How we use information

We use personal information to:

  • Create and manage user accounts and business workspaces.
  • Capture leads and service requests from calls, forms, dashboards, and integrations.
  • Generate quotes, booking confirmations, reminders, follow-ups, and customer communications.
  • Provide AI-assisted receptionist, lead-management, and workflow automation features.
  • Send SMS, email, and operational notifications requested by users or configured by a business account.
  • Provide billing, subscriptions, usage tracking, receipts, and account administration.
  • Improve platform reliability, security, troubleshooting, analytics, and product performance.
  • Detect abuse, unauthorized access, fraud, spam, or violations of our Terms.
  • Comply with legal, regulatory, tax, accounting, security, and operational obligations.

4. Customer and end-customer data

Businesses using Geolapis may upload or create information about their own customers, leads, callers, and appointments. For that information, the business customer is generally responsible for ensuring that it has the necessary permission, notice, consent, or other lawful basis to collect and use the information through Geolapis.

Geolapis processes that information to provide the service, including lead capture, quoting, booking, follow-up messaging, reporting, and support. We do not sell end-customer personal information.

5. AI and automation

Some features may use AI or automated systems to help classify service requests, draft quotes, summarize call outcomes, prepare follow-up messages, or support workflow decisions. AI outputs are intended to assist users and should be reviewed where appropriate before relying on them for important business decisions.

We may process relevant lead, quote, call, service, and account information to provide these AI-assisted features. We design the platform so that business rules, pricing, and entitlement logic remain controlled by configured data and deterministic system rules wherever possible.

6. Service providers and integrations

We use trusted third-party service providers to operate the platform. These providers may process personal information only as needed to provide services to us or to our customers.

Examples may include:

  • Cloud hosting and database providers, including Render-hosted services and PostgreSQL databases.
  • Payment processors, such as Stripe, for billing and subscription management.
  • SMS and telephony providers, such as Twilio or similar providers, for phone numbers, calls, and text messages.
  • Email delivery providers for transactional and notification emails.
  • Calendar and booking providers, such as Cal.com or similar scheduling tools.
  • AI, analytics, monitoring, logging, security, and support tools used to operate and improve the platform.

7. Data storage and international processing

Information may be stored and processed in Canada, the United States, the United Kingdom, the European Economic Area, or other countries where Geolapis or its service providers operate. Privacy protections and legal requirements may differ by jurisdiction.

We take reasonable steps to use appropriate safeguards when information is transferred, stored, or processed by service providers outside the user’s country or region.

8. Data retention

We retain personal information for as long as reasonably needed to provide the service, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, support security, and maintain backups.

When information is no longer required, we may delete, anonymize, or archive it according to operational, legal, security, backup, and accounting requirements.

9. Security

We use administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, disclosure, or destruction. These safeguards may include access controls, authentication, role-based permissions, secure configuration practices, logging, monitoring, encryption where appropriate, and restricted access to production systems.

No online service can guarantee absolute security. Users are responsible for keeping passwords, API keys, agent secrets, and account access credentials confidential.

10. Cookies and similar technologies

We may use cookies, local storage, session storage, and similar technologies to support login sessions, security, user preferences, analytics, performance monitoring, and product improvement.

Some cookies or storage technologies are essential for the platform to function. Others may help us understand usage and improve the service. Browser settings may allow you to block or delete cookies, but doing so may affect platform functionality.

11. Your privacy rights

Depending on your location, you may have rights to access, correct, update, export, restrict, object to, or request deletion of certain personal information. These rights may be subject to legal, security, identity verification, operational, backup, and legitimate business limitations.

Geolapis is intended for business use and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us so we can review and take appropriate action.

We may send service-related messages, security notices, billing notices, product updates, or administrative communications. Where required, marketing communications will include an option to unsubscribe or manage preferences.

Transactional messages related to account security, billing, service delivery, or legal notices may still be sent even if you opt out of marketing communications.

14. Business transfers

If Geolapis is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, personal information may be transferred as part of that transaction, subject to appropriate confidentiality and legal protections.

We may update this Privacy Policy from time to time. If we make material changes, we may notify users by posting an updated version on the website, through the dashboard, or by other appropriate means. The effective date above shows when this Policy was last updated.
